Receptionist

Under the direction and supervision of the Campus Director and the Admission Director of the Institute, the Receptionist is responsible for handling the front desk operations as well as support to various other departments on the campus. The receptionist performs a variety of office duties including but not limited to greeting visitors, answering telephone calls, and performing general clerical work and related duties.

Qualifications

  • A willingness to learn, flexibility in accomplishing tasks, and a positive attitude.
  • Reliability - Receptionists must be prompt and consistent in their performance.
  • Good Phone Manner - Whether or not a potential student eventually comes in often depends upon the receptionist’s ability to effectively communicate over the telephone. Good voice tone and the ability to articulate on the phone are vital.

  • Reliable Transportation (public or private).
  • High school diploma, California High School equivalency (CHSE) or general education development test (GED); or one to three months related experience and/or training; or equivalent combination of education and experience is recommended.

Responsibilities

  • Obtains caller's name and forwards call or takes message for person called upon.

  • Updating master phone extension list.
  • Types minor memos, correspondence, reports, and other documents.
  • Collects and distributes messages and assists with mail distribution.
  • Performs variety of clerical duties.
  • Provides support for office personnel.
  • Maintain lobby, conference room, and coffee area in an orderly
  • Keep track of office supplies and maintain list of need items.
  • Call vendors for office equipment repairs as directed.
  • Assist walk in clients and notify appropriate personnel.
  • Use office machines such as copier, fax, computer, printers, etc.
  • Responsible for dispersing incoming faxes to staff in a timely manner.
  • Prepare and disperse mail in a timely manner.
  • Works when scheduled; begins and ends work as expected; calls in business, and person called upon.
